Replenishments

Replenishments shows all replenishment requests from OMS accounts. View incoming inventory shipments, track their status, and coordinate receiving operations. This is your central hub for managing all inventory that’s coming into your warehouse.

Centralized View

See all replenishment requests from all OMS accounts in one place. Track what’s coming, what’s arrived, and what’s being processed.

Status Tracking

Monitor the status of each replenishment request. Know what’s in transit, what’s arrived, and what’s ready for receiving.

Account Management

View replenishments by OMS account. See which accounts have pending shipments and coordinate receiving accordingly.

Shipping Information

Track PO numbers, tracking numbers, container numbers, and BL numbers for incoming shipments.

Expected Arrival Dates

Plan warehouse operations based on expected arrival dates. Know when shipments are due to arrive.

Receiving Coordination

Coordinate receiving operations. See which requests are ready for receiving and which are still in transit.

Replenishment requests move through different statuses as they progress from creation to completion:

BUSYStatus 200System is processing the request. Check status after 30 minutes if it remains stuck.
  1. Navigate to Replenishments

    Go to InventoryReplenishments or access /Recive_Requestlist.php directly.

  2. Review the List

    The table shows all replenishment requests with:

    • RepleID (Request ID) - Click to view details
    • PO# - Purchase Order number
    • Account - OMS account ID
    • Supplier - Supplier name
    • Status - Current status (IN-TRANSIT, PROCESSING, ARRIVED, etc.)
    • Comments - Notes about the request
    • BOE - Bill of Entry
    • BL Number - Bill of Lading number
    • Container # - Container number
    • Date request - When the request was created
    • Expected arrival - Expected delivery date
    • Date arrived - Actual arrival date
    • Sync API - Whether API sync is enabled
  3. Filter Replenishments

    Use the search and filter options to find specific requests:

    • Filter by status
    • Filter by account
    • Filter by date range
    • Search by PO number or tracking number
  4. Sort Columns

    Click column headers to sort by that field. Click again to reverse the sort order.

  1. Click on a Request

    Click the RepleID (Request ID) to open the detail view.

  2. Review Master Information

    The master view shows:

    • Request ID
    • Purchase Order number
    • Account information
    • Supplier name
    • Current status
    • Comments
    • Shipping information (BOE, BL Number, Container #)
    • Dates (request, expected arrival, actual arrival)
  3. View Request Items

    Scroll down to see all products (SKUs) in this replenishment request. Each line shows:

    • SKU
    • Description
    • Quantity requested
    • Quantity received (if any)
    • Bin assignment (if received)
    • Weight
    • Lot and expiration (if applicable)
  4. Access Receiving

    If the request has arrived (Status 79) or is processing (Status 4), click to start receiving inventory.

When a request shows IN-TRANSIT:

  • Inventory is on the way to your warehouse
  • Expected arrival date shows when it should arrive
  • No receiving actions needed yet
  • Monitor for arrival updates

When a request shows ARRIVED:

  • Inventory has physically arrived
  • Ready to start receiving process
  • Click on the request to begin receiving
  • See Receiving documentation for detailed receiving steps

When a request shows PROCESSING:

  • Receiving is in progress
  • Warehouse staff is processing the shipment
  • Some items may be partially received
  • Monitor progress until completion

If a request shows BUSY:

  • System is processing the request
  • Wait at least 30 minutes
  • Click Check Status link if it appears
  • Contact support if status doesn’t update
  1. Use Basic Search

    Enter keywords in the search box to find requests by:

    • PO number
    • Tracking number
    • Account ID
    • Supplier name
  2. Use Advanced Filters

    Click Advanced Search to filter by:

    • Status
    • Date range (request date, expected arrival, actual arrival)
    • Account
    • Supplier
    • PO number
    • Tracking number
  3. Save Filter Settings

    Your filter settings are saved in your session. They persist until you clear them or log out.

  1. Select Export Format

    Use the export options to download replenishment data:

    • CSV format for spreadsheet analysis
    • Excel format for detailed reports
  2. Export All or Filtered

    Export either:

    • All replenishments (if no filters applied)
    • Filtered results (only matching your current filters)
  3. Use Exported Data

    Use exported data for:

    • Reporting and analysis
    • Planning warehouse operations
    • Tracking supplier performance
    • Inventory forecasting

Replenishments works closely with Receiving:

  1. Monitor Arrivals

    Check Replenishments regularly to see which requests have arrived (Status 79).

  2. Start Receiving

    When a request shows ARRIVED, click on it to start the receiving process.

  3. Track Progress

    As items are received, the status updates to PROCESSING. Monitor until completion.

  4. Complete Receiving

    Once all items are received, the status changes to READY FOR REVIEW, then the request is archived.

Some replenishments have Sync API enabled:

  • Checked: API sync is enabled. Changes sync automatically with the OMS account.
  • Unchecked: Manual sync only. Changes don’t sync automatically.

This setting is controlled by the OMS account and affects how replenishment data updates.

Check Daily

Review Replenishments daily to see what’s arriving and plan receiving operations accordingly.

Monitor Expected Dates

Pay attention to expected arrival dates. Plan warehouse resources based on when shipments are due.

Filter by Status

Use status filters to focus on what needs attention. Filter for ARRIVED requests to see what’s ready for receiving.

Track Shipping Info

Keep track of PO numbers, tracking numbers, and container numbers. This helps coordinate with shipping carriers.

Coordinate with Accounts

If multiple OMS accounts have shipments arriving, coordinate receiving to balance workload.

Use Comments

Add comments to requests if there are special instructions or issues that need attention.

Problem: Request status doesn’t change when expected.

Solution:

  • Check if the request shows BUSY status
  • Wait 30 minutes and click Check Status if available
  • Verify the request hasn’t been archived
  • Contact support with the Request ID if issues persist

Problem: A replenishment request doesn’t appear in the list.

Solution:

  • Check if filters are applied that might hide it
  • Verify the request hasn’t been archived
  • Search by Request ID directly
  • Check if you have permissions to view that account’s requests

Problem: Expected arrival date has passed but request still shows IN-TRANSIT.

Solution:

  • Check with the shipping carrier for actual status
  • Contact the OMS account to verify shipping details
  • Update the expected arrival date if needed
  • Mark as ARRIVED when shipment actually arrives

Problem: Multiple replenishment requests from the same account arriving at once.

Solution:

  • Use filters to group by account
  • Coordinate receiving to balance workload
  • Prioritize based on expected arrival dates
  • Process requests in order of arrival

After reviewing replenishments:

  1. Start Receiving - Process requests that have arrived (Status 79)
  2. Monitor In Transit - Track shipments that are on the way
  3. Plan Operations - Use expected arrival dates to plan warehouse resources
  4. Review Archived - Check completed requests in Archived Replenishments
