Editing Bins

Editing Bins (also known as Bin Management) allows you to modify important bin information in your warehouse. You can change bin names, lot numbers, expiration dates, and units of measure to maintain accurate and updated records.

Error Correction

Correct incorrect bin names or update information when you find physical discrepancies.

Lot Updates

Update lot numbers and expiration dates when you receive products with new information.

Complete Traceability

All changes are recorded in history with user and modification date.

Bulk Management

Export and import data from CSV to make bulk changes efficiently.

You can access Editing Bins in two ways:

  1. From Warehouse Overview: Click the Bin Management button on the Warehouse page
  2. Directly: Navigate to the Bin Management page from the menu or access directly to /editingBinlist.php

In Editing Bins you can modify the following fields:

  • BIN (Current BIN): The bin name or code. This is the main field you can change.
  • lot (Lot Number): Product lot number in the bin.
  • expir (Expiration Date): Product expiration date.
  • UOM (Unit of Measure): Product unit of measure.

These fields are shown for reference but cannot be edited directly:

  • BINLast: Shows the previous bin name when it has been changed.
  • Sku: Product SKU in the bin.
  • Upc: Product UPC code.
  • Description: Product description.
  • QtyProductID: Current quantity in the bin.
  • UnitVolumenPrice: Price per volume unit.
  • AcountID: Account associated with the bin.
  • id_location: Physical location of the bin.
  1. Access Bin Management

    Go to Warehouse and click Bin Management, or access directly to the bin editing page.

  2. Search for the bin

    Use search filters to find the bin you want to edit. You can search by:

    • Bin name (BIN)
    • SKU
    • UPC
    • Account
    • Location
  3. Activate edit mode

    Click the edit button (pencil icon) in the row of the bin you want to modify.

  4. Modify fields

    Edit the fields you need to change:

    • BIN: Enter the new bin name (will automatically convert to uppercase)
    • lot: Update lot number if necessary
    • expir: Change expiration date if applicable
    • UOM: Modify unit of measure if necessary
  5. Save changes

    Click the save button to apply changes. The system will validate that the new bin name is valid before saving.

When you change a bin name, the system automatically performs several actions:

  1. New name validation

    The system verifies that the new bin name is valid according to configured validation rules.

  2. Previous name saved

    The previous name is automatically saved in the BINLast field to maintain a historical record.

  3. History record

    Two records are created in bin history:

    • A record for the previous bin indicating the change
    • A record for the new bin indicating the origin of the change
  4. Webhook updates

    If configured, webhooks are triggered to notify inventory changes when the change affects different bin categories.

You can export bin information to a CSV file to work with data externally:

  1. Access export option

    On the Bin Management page, click Export to CSV.

  2. Select management type (if applicable)

    If you’re working with a specific management type (Re-count or Move), select the corresponding type.

  3. Download the file

    The system will generate a CSV file with all visible bins according to applied filters.

  4. Edit the file

    Open the CSV file in Excel or your preferred editor and make necessary changes.

The CSV file includes columns such as:

  • Sku
  • CurrentQty
  • CurrentBIN
  • CurrentLocation
  • New_Bin/Location
  • And additional fields according to the selected management type

After editing the CSV file, you can import changes back into the system:

  1. Prepare your CSV file

    Make sure the CSV file has the correct format and the changes you want to apply.

  2. Access import

    On the Bin Management page, click Import CSV.

  3. Upload the file

    Select the edited CSV file and upload it to the system.

  4. Review results

    The system will process the file and show you import results.

You can review the history of CSV files you’ve imported:

  1. Access history

    Click File History on the Bin Management page.

  2. Review files

    You’ll see a list of all CSV files you’ve imported with dates and details.

  3. Download previous files (if available)

    You can download previous files for reference or to review previous changes.

Editing Bins includes advanced search functions to find specific bins:

Search by Bin

Search bins by their exact name or code.

Search by SKU

Find all bins that contain a specific SKU.

Search by Account

Filter bins by specific account to see only bins from one account.

Search by Location

Find bins in specific warehouse locations.

Verify before changing

Always verify that the new bin name is not in use before making the change. The system will validate this automatically.

Document changes

Keep a record of why you’re changing bin names, especially for future audits.

Use CSV for bulk changes

For multiple changes, export to CSV, edit the file, and then import changes. It’s more efficient than editing one by one.

Review history

Use bin history to see all changes made and understand the context of previous modifications.

Team coordination

Communicate important bin name changes to the team to avoid confusion in the physical warehouse.

Lot validation

When updating lot numbers or expiration dates, verify that information matches physical product documentation.

Problem: The system doesn’t allow changing the bin name or shows a validation error.

Solution:

  • Verify the new bin name meets established format rules
  • Make sure the new name is not already in use by another bin
  • The name must follow the valid format configured in the system
  • Contact your administrator if the problem persists

Problem: The CSV file doesn’t import correctly or shows errors.

Solution:

  • Verify the CSV format is exactly the same as the originally exported file
  • Make sure you haven’t deleted or modified header columns
  • Check that cell values are valid (valid bin names, etc.)
  • Verify the file doesn’t have problematic special characters
  • Review file history to see specific error messages

Problem: After changing a bin name, the BINLast field is empty.

Solution:

  • This can occur if the bin never had a previous name (was created with that name)
  • Verify bin history to see the complete change record
  • If the problem persists, contact technical support

Problem: Some bins don’t appear in the editing list.

Solution:

  • Verify you don’t have active search filters hiding bins
  • Make sure you have permissions to view all necessary bins
  • Check that you’re searching in the correct account
  • Try clearing filters and searching again
