Email Templates

Email Templates are predefined configurations for automated emails that the system sends in different situations. You can customize the subject (Subject), reply address (Reply To), and footer (Footer) for each type of email that ShipEdge sends automatically.

With Email Templates, you maintain consistency in your communications and ensure all automated emails reflect your brand and contain correct contact information.


Brand Personalization

Add your contact information, logo, and custom messages to all automated emails sent by the system.

Define who receives replies (Reply To) and what information appears in each type of automated email.

Flexible Activation

Enable or disable individual templates according to your needs without deleting configuration.

Preview

Visualize how the email will look before saving to ensure everything displays correctly.


  1. Navigate to Configuration Menu

    Go to the main menu and select the configuration or preferences section.

  2. Select Email Templates

    Click Email Templates or Communication Templates from the menu. A table with all available templates will open.

  3. Review Available Templates

    The table shows all types of automated emails configured in the system with their current configurations.


The Email Templates table shows the following columns:

Email's Description

NameEmail: Description of the automated email type. Examples:

  • Order notifications
  • Inventory alerts
  • Shipment confirmations
  • Backorder notifications

Receipient

Recipient: Email address or group that receives this type of automated emails.

Reply To

Reply Address: Email address to which recipients can reply when they receive this email.

Subject

Subject: Subject line of the email that is sent automatically.

Footer

Footer: HTML content of the footer that appears in each email. A truncated preview is shown in the table.

On/Off

Status: Switch indicating if the template is active (On) or inactive (Off). Inactive templates don’t send emails.


  1. Locate the Template

    Find the template you want to edit in the table. You can use search filters in each column to find specific templates.

  2. Click the Edit Button

    Click the edit button (pencil icon) in the actions column of the template you want to modify.

  3. Modify Fields

    A modal opens with the edit form. You can modify:

    • Reply To: Email address for replies
    • Subject: Email subject
    • Footer: Footer in HTML format (use the visual editor)

    All fields are required.

  4. Save Changes

    Click Save changes to save modifications. The template will update immediately.


You can enable or disable individual templates without deleting their configuration:

  1. Locate the Template

    Find the template you want to enable or disable in the table.

  2. Use the On/Off Switch

    Click the switch in the “On/Off” column to change status:

    • On (blue/green): Template is active and will send emails
    • Off (gray): Template is inactive and won’t send emails
  3. Change Saves Automatically

    The change applies immediately. You don’t need to save manually.


You can see how the email will look before saving:

  1. Click the Preview Button

    Click the preview button (eye icon) in the actions column of the template.

  2. Review Preview

    A modal opens showing how the email will look with the configured Header and Footer. This helps you verify everything displays correctly.

  3. Close Preview

    Click Close to close the modal and return to the table.

The preview shows the template rendered with current Header and Footer data for that email type.


The table includes search filters in each column:

  1. Use Search Fields

    Each column has a search field in the table header (second row).

  2. Enter Your Search

    Type the text you want to search in the corresponding field. For example:

    • Search by description: Type part of the template name
    • Search by recipient: Type the email address
    • Search by subject: Type words from the subject
  3. Press Enter

    Press Enter or click outside the field to apply the filter. The table will update automatically showing only matching results.

  4. Clear Filters

    Click the “X” icon that appears in fields with text to clear the filter and see all templates again.


Description: Email address to which recipients can reply.

Format: Must be a valid email address (example: support@yourdomain.com)

Usage: When someone receives an automated email and clicks “Reply”, the email will be sent to this address.

Description: Subject line that appears in the email.

Format: Plain text. You can include dynamic variables if the system supports them.

Examples:

  • “Order Confirmation #{{OrderNumber}}
  • “Your order has been shipped”
  • “Low Inventory Alert”

Description: HTML content that appears at the end of each automated email.

Format: HTML with visual editor. You can include:

  • Formatted text (bold, italic, lists)
  • Links to your website or policies
  • Contact information
  • Logos or images
  • Legal or privacy information

Footer Example:

<p>Thank you for your purchase.</p>
<p><strong>Your Company</strong><br>
Phone: 1-800-XXX-XXXX<br>
Email: support@yourdomain.com</p>
<p><a href="https://yourdomain.com/policies">Privacy Policy</a></p>

Clear Contact Information

Include complete contact information in the Footer: phone, email, physical address. This helps customers contact you easily.

Relevant Reply To

Use an email address that is actively monitored. Customers may reply to automated emails with questions or problems.

Descriptive Subjects

Write clear and descriptive subjects that indicate what the email is about. This improves open rates and reduces confusion.

Consistent Footer

Maintain a consistent Footer across all templates to reinforce your brand. Use the same style, colors, and structure.

Test Before Activating

Use preview to verify the Footer displays correctly before activating the template. Check links and format.

Valid HTML

Make sure Footer HTML is valid. The visual editor helps, but verify there are no unclosed tags or malformed code.


Possible Causes:

  • Template is disabled (switch in Off position)
  • Server email configuration is not correct
  • Recipient is not configured correctly

Solution:

  1. Verify the “On/Off” switch is in “On” position
  2. Review Email Configuration settings in the system
  3. Verify the “Recipient” field has a valid address
  4. Review server logs for sending errors

Possible Causes:

  • Malformed HTML or unclosed tags
  • CSS styles not compatible with email clients
  • Images with incorrect absolute paths

Solution:

  1. Use preview to verify how the Footer looks
  2. Simplify HTML and avoid complex CSS
  3. Use absolute paths for images (complete URLs, not relative paths)
  4. Test email in different email clients (Gmail, Outlook, etc.)

Problem: “I can’t find a specific template”

Section titled “Problem: “I can’t find a specific template””

Possible Causes:

  • There are many templates and you need to filter
  • Template name is different than expected
  • Template doesn’t exist for that email type

Solution:

  1. Use search filters in the “Email’s Description” column
  2. Search by keywords related to the email type
  3. Clear all filters and review the complete list
  4. Contact support if the template should exist but doesn’t appear

Possible Causes:

  • Required fields empty
  • Form validation error
  • Server connection problem

Solution:

  1. Verify all fields are complete (Reply To, Subject, Footer)
  2. Check that email format in “Reply To” is valid
  3. Try saving again
  4. Reload page and try again
  5. Check browser console for JavaScript errors

Can I create new template types?

Template types are predefined by the system according to different types of automated emails ShipEdge can send. You can’t create new types, but you can completely customize existing ones.

Do changes apply immediately?

Yes, changes save immediately when you click “Save changes”. Next automated emails will use the new configuration.

Can I use dynamic variables in templates?

Depends on template type and specific functionality. Some templates may support variables like order numbers or dates. Consult specific documentation for each email type.

What happens if I disable a template?

When you disable a template, the system stops sending that type of automated email. Configuration remains saved, so you can reactivate it later without losing your changes.

Can I have different templates for different warehouses?

Templates are associated with the Distribution Center (warehouse). If you have multiple warehouses, you can have different configurations for each.

Can the Footer include images?

Yes, you can include images in the Footer using HTML. Make sure to use absolute URLs (complete) for images, not relative paths.
