NameEmail: Description of the automated email type. Examples:

Email Templates are predefined configurations for automated emails that the system sends in different situations. You can customize the subject (Subject), reply address (Reply To), and footer (Footer) for each type of email that ShipEdge sends automatically.
With Email Templates, you maintain consistency in your communications and ensure all automated emails reflect your brand and contain correct contact information.
Add your contact information, logo, and custom messages to all automated emails sent by the system.
Define who receives replies (Reply To) and what information appears in each type of automated email.
Enable or disable individual templates according to your needs without deleting configuration.
Visualize how the email will look before saving to ensure everything displays correctly.
Navigate to Configuration Menu
Go to the main menu and select the configuration or preferences section.
Select Email Templates
Click Email Templates or Communication Templates from the menu. A table with all available templates will open.
Review Available Templates
The table shows all types of automated emails configured in the system with their current configurations.
The Email Templates table shows the following columns:
Email's Description
NameEmail: Description of the automated email type. Examples:
Receipient
Recipient: Email address or group that receives this type of automated emails.
Reply To
Reply Address: Email address to which recipients can reply when they receive this email.
Subject
Subject: Subject line of the email that is sent automatically.
Footer
Footer: HTML content of the footer that appears in each email. A truncated preview is shown in the table.
On/Off
Status: Switch indicating if the template is active (On) or inactive (Off). Inactive templates don’t send emails.
Locate the Template
Find the template you want to edit in the table. You can use search filters in each column to find specific templates.
Click the Edit Button
Click the edit button (pencil icon) in the actions column of the template you want to modify.
Modify Fields
A modal opens with the edit form. You can modify:

Save Changes
Click Save changes to save modifications. The template will update immediately.
You can enable or disable individual templates without deleting their configuration:
Locate the Template
Find the template you want to enable or disable in the table.
Use the On/Off Switch
Click the switch in the “On/Off” column to change status:
Change Saves Automatically
The change applies immediately. You don’t need to save manually.
You can see how the email will look before saving:
Click the Preview Button
Click the preview button (eye icon) in the actions column of the template.
Review Preview
A modal opens showing how the email will look with the configured Header and Footer. This helps you verify everything displays correctly.
Close Preview
Click Close to close the modal and return to the table.
The preview shows the template rendered with current Header and Footer data for that email type.
The table includes search filters in each column:
Use Search Fields
Each column has a search field in the table header (second row).
Enter Your Search
Type the text you want to search in the corresponding field. For example:

Press Enter or click outside the field to apply the filter. The table will update automatically showing only matching results.
Clear Filters
Click the “X” icon that appears in fields with text to clear the filter and see all templates again.
Description: Email address to which recipients can reply.
Format: Must be a valid email address (example: support@yourdomain.com)
Usage: When someone receives an automated email and clicks “Reply”, the email will be sent to this address.
Description: Subject line that appears in the email.
Format: Plain text. You can include dynamic variables if the system supports them.

This helps customers contact you easily.
Use an email address that is actively monitored. Customers may reply to automated emails with questions or problems.
Write clear and descriptive subjects that indicate what the email is about. This improves open rates and reduces confusion.
Maintain a consistent Footer across all templates to reinforce your brand. Use the same style, colors, and structure.
Use preview to verify the Footer displays correctly before activating the template. Check links and format.
Make sure Footer HTML is valid. The visual editor helps, but verify there are no unclosed tags or malformed code.

Can I create new template types?
Template types are predefined by the system according to different types of automated emails ShipEdge can send. You can’t create new types, but you can completely customize existing ones.
Do changes apply immediately?
Yes, changes save immediately when you click “Save changes”. Next automated emails will use the new configuration.
Can I use dynamic variables in templates?
Depends on template type and specific functionality. Some templates may support variables like order numbers or dates. Consult specific documentation for each email type.
What happens if I disable a template?
When you disable a template, the system stops sending that type of automated email. Configuration remains saved, so you can reactivate it later without losing your changes.
Can I have different templates for different warehouses?
Templates are associated with the Distribution Center (warehouse). If you have multiple warehouses, you can have different configurations for each.
Can the Footer include images?
Yes, you can include images in the Footer using HTML. Make sure to use absolute URLs (complete) for images, not relative paths.
