Statements

Statements lets you view and manage all warehouse account statements. Each statement represents a billing period that consolidates all services provided to OMS accounts during that time. From here you can review total amounts, payment dates, payment status, and access detailed PDF reports for each statement.

Centralized View

See all warehouse account statements in a single table with key information for each statement.

Payment Tracking

Monitor which statements have been paid and which are pending using the Paid field and Paid Date.

Quick Access to Details

Click on Statement# WH to see the complete breakdown of services included in each statement.

PDF Reports

Generate and download detailed PDF reports for each statement with a single click from the PDF icon.

Search and Filtering

Search statements by number, date, or payment status. Filter by date ranges to find specific statements.

Aggregated Totals

See the aggregated total of all visible statements at the bottom of the table for quick analysis.

You can access Statements from:

  1. Billing Menu: Navigate to Billing > Statements
  2. Directly: Access /StatementsWHlist.php

The table shows the following columns for each statement:

  • Statement# WH: Unique statement number. Click this number to see complete statement details in InvoiceViewWHlist.
  • Statement Date: Date when the statement was generated (assingDate). Shows date and time.
  • Paid Date: Date when statement payment was registered (PaidDate). May be empty if the statement hasn’t been paid yet.
  • Total Amount $: Total statement amount (TotalService). Shows the total of all services included in the statement, formatted with 2 decimals.
  • Paid: Indicates if the statement has been paid:
    • Checked (Y): The statement has been paid
    • Unchecked (N): The statement is pending payment
  • Report: PDF icon that allows generating and downloading the statement PDF report. Click the icon to see the detailed PDF.
  1. Access Statements

    Navigate to Billing > Statements or access directly at /StatementsWHlist.php.

  2. Review the table

    The table shows all available statements. By default it shows 20 records per page.

  3. Navigate between pages

    Use pagination controls at the bottom to navigate between result pages. You can go to First, Previous, Next, or Last.

  4. Review totals

    At the bottom of the table, you’ll see:

    • Total: Sum of all amounts from visible statements
    • Count: Total number of visible statements
  5. Adjust records per page

    Select the number of records you want to see per page from the Records Per Page dropdown menu. Available options: 10, 20, 50, 100, 200, 500, or All Records.

  1. Use the basic search field

    At the top of the table, find the search field with the Search (*) button.

  2. Enter your search term

    Type the text you want to search. The search looks in the following fields:

    • Bank Confirm
    • Paid (Y/N)
    • Report (PDF icon)
  3. Select search type

    Choose how you want your search interpreted:

    • Exact phrase: Searches for the exact phrase
    • All words: Searches for records containing all words
    • Any word: Searches for records containing any of the words
  4. Execute search

    Click Search (*) to execute the search.

  5. Clear search

    Click Reset or Show all to clear the search and see all records again.

  1. Access advanced search

    At the top of the page, you’ll find advanced search fields.

  2. Search by Statement# WH

    In the Statement# WH field, enter the specific statement number you want to find. Use the ”=” operator for exact search.

  3. Search by Statement Date

    In the Statement Date field, select a date range using the calendars:

    • Click the calendar icon next to the first field to select the initial date
    • Click the calendar icon next to the second field to select the final date
    • The system will search for statements between these two dates (inclusive)
  4. Search by Paid Date

    In the Paid Date field, select a payment date range using the calendars:

    • Select the initial and final dates of the range
    • This lets you find statements paid in a specific period
  5. Execute search

    Filters apply automatically when you select dates or enter values. The table updates to show only matching results.

  1. Locate the statement

    Find the statement you want to review in the table.

  2. Click Statement# WH

    Click the statement number in the Statement# WH column. This will take you to the statement details page (InvoiceViewWHlist).

  3. Review details

    On the details page you’ll see:

    • Complete OMS account information
    • Detailed breakdown of all included services
    • Individual amounts by service type
    • Initial and final dates of the billing period
  1. Locate the statement

    Find the statement for which you want to generate the PDF report.

  2. Click the PDF icon

    In the Report column, click the PDF icon (PDF image).

  3. Review the PDF

    A new window or tab will open showing the statement PDF report. The PDF includes:

    • Warehouse information (logo if configured)
    • Statement number and date
    • OMS account information
    • Detailed service breakdown
    • Total amount due
  4. Download or print

    Use your browser options to download or print the PDF as needed.

The Paid field indicates the payment status of each statement:

  • Checked (Y): The statement has been marked as paid. The Paid Date field will show the date when payment was registered.
  • Unchecked (N): The statement is pending payment. The Paid Date field will be empty.

You can sort the table by clicking any column header:

  • First click: Sorts ascending (lowest to highest, A-Z)
  • Second click: Sorts descending (highest to lowest, Z-A)

Sortable columns include:

  • Statement# WH
  • Statement Date
  • Paid Date
  • Total Amount $
  • Paid
  • Report

At the top of the page, you’ll find a link to Daily Storage. This link lets you quickly access the daily storage view related to statements.

Review Statements Regularly

Review statements periodically to stay up to date with billing and payment status.

Use Date Filters

Use Statement Date and Paid Date filters to find statements from specific periods quickly.

Download PDFs for Archive

Download PDFs of important statements to maintain records outside the system.

Verify Details Before Paying

Always review statement details (by clicking Statement# WH) before processing payments.

Monitor Pending Statements

Filter by Paid = N to quickly see which statements are pending payment.

Use Totals for Analysis

Review aggregated totals at the bottom of the table for quick total amount analysis.

Problem: The table is empty or shows “No records found”.

Solution:

  • Verify that statements have been generated in the system
  • Check that search filters are not too restrictive
  • Clear all filters using Reset or Show all
  • Verify your access permissions with the system administrator

Problem: The statement number is not clickable or doesn’t lead to details.

Solution:

  • Make sure to click directly on the statement number
  • Verify that you have permissions to view statement details
  • Try reloading the page if the link doesn’t work
  • Contact the administrator if the problem persists

Problem: When clicking the PDF icon, the report doesn’t open or an error appears.

Solution:

  • Verify that your browser allows popups
  • Make sure the statement has valid data
  • Try another browser if the problem persists
  • Verify that the system has access to generate PDFs
  • Contact the administrator if the problem continues

Problem: Calendars don’t appear or dates don’t apply correctly.

Solution:

  • Make sure to select both dates (initial and final) for ranges
  • Verify that date format is correct (YYYY/MM/DD HH:MM:SS)
  • Clear filters and try again
  • Reload the page if calendars don’t appear
  • Verify that JavaScript is enabled in your browser

Problem: The link to Daily Storage doesn’t appear at the top.

Solution:

  • The link should be visible at the top of the page
  • Verify that you have permissions to access Daily Storage
  • If the link doesn’t appear, you can access directly at /dailyStorage.php

Problem: Totals at the bottom don’t seem correct.

Solution:

  • Totals show only statements visible on the current page
  • If you have filters applied, totals reflect only filtered results
  • To see the complete total, remove all filters and select “All Records” in Records Per Page
  • Verify that you’re viewing all records if you need the complete total
