Stagnated Inventory

Stagnated Inventory helps you identify products that haven’t moved in a specified number of days. Use this report to find slow-moving stock, make reordering decisions, and optimize warehouse space by clearing out dead inventory.

The system identifies stagnated products using these criteria:

Included Products:

  • Have inventory in stock (UnitsInStock > 0)
  • Not discontinued (Discontinued = 'N')
  • Not on hold (QtyHold = 0)
  • No shipments (StatusType = 'Shipped') in the configured period
  • No receipts (StatusType = 'Received') in the configured period

Configured Period: The number of days is set in your account’s premium services settings (Stagnated_Inventory field). This determines how far back the system looks for product movement.

Example: If your threshold is 90 days, the report shows products that haven’t been shipped or received in the last 90 days.

Navigate to Stagnated Inventory from the catalog menu or visit /stagnated.php directly.

The report displays:

  • Stagnated Inventory Days: Your configured threshold (e.g., “90” days)
  • Download CSV: Export button for the full report
  • Data Table: Searchable list of stagnated products
  • Sku: Product SKU identifier
  • Upc: Universal Product Code
  • Description: Product description
  • Supplier: Supplier name
  • Qty In Stock: Current inventory quantity
  1. Open Stagnated Inventory

    Navigate to Stagnated Inventory from the inventory menu.

  2. Review the Threshold

    Check the Stagnated Inventory Days displayed at the top. This shows your configured period (e.g., 90 days).

  3. Search and Filter Products

    Use the search boxes above each column to filter:

    • Sku: Find specific SKUs
    • Upc: Search by UPC code
    • Description: Search product descriptions
    • Supplier: Filter by supplier name
  4. Analyze the Results

    Review products sorted by quantity in stock (highest to lowest) and supplier name.

    Key Questions to Ask:

    • Why hasn’t this product moved?
    • Is demand seasonal?
    • Should I discontinue this SKU?
    • Can I run a promotion to clear stock?
  5. Download CSV for Analysis

    Click Download CSV to export the full report for spreadsheet analysis.

  6. Take Action

    Based on your analysis:

    • Discontinue slow-moving SKUs
    • Run promotions to clear excess stock
    • Adjust ordering to prevent future stagnation
    • Transfer to other distribution centers if needed

The stagnated inventory report updates automatically:

  • Daily Generation: System recalculates stagnated inventory once per day via automated cron job
  • Cache: Reports are cached and regenerated if the current date differs from the last generation date
  • CSV Export: CSV files are generated on-demand and cached for the current day

The number of days for stagnated inventory is configured in your account’s premium services settings.

Common Thresholds:

  • 30 days: Very aggressive, short-shelf-life products
  • 60 days: Moderate, seasonal items
  • 90 days: Standard, most retail products
  • 180+ days: Long-term, industrial/wholesale items

The system considers a product as “moved” if it has either:

Shipment Activity:

  • Product was included in an order that was shipped
  • History record with StatusType = 'Shipped'

Receipt Activity:

  • Product was received into inventory
  • History record with StatusType = 'Received'

Not Considered Movement:

  • Orders in Pending or Processing status (not yet shipped)
  • Inventory adjustments or corrections
  • Transfers between locations (unless completed with receipt)

Regular Review

Check stagnated inventory report monthly to identify trends early.

Seasonal Awareness

Don’t discontinue seasonal items just because they’re temporarily stagnant.

Supplier Insights

Group by supplier to identify vendors with consistently slow-moving products.

Action Plan

Create a clear process for handling stagnated inventory (clearance, liquidation, return to supplier).

Compare Quantities

Products with high quantities are more urgent to address than low-quantity stagnation.

Cross-Reference Sales Data

Compare stagnated inventory with sales reports to understand demand patterns.

Once you’ve identified stagnated products, consider these actions:

Discontinue

Mark the SKU as discontinued if you no longer want to stock it. This prevents new orders while allowing existing inventory to sell through.

When to Use: Product permanently discontinued, low demand, supplier issues.

Clearance Sale

Reduce prices to move inventory quickly and free up space.

When to Use: Excess stock, seasonal items out of season, product refresh.

Transfer to Other DC

Move inventory to a distribution center where demand is higher.

When to Use: Multi-location operations, regional demand variations.

Return to Supplier

Negotiate returns or exchanges with your supplier.

When to Use: Vendor agreements allow returns, overstocked items, damaged/defective.

Liquidation

Sell to liquidation companies or secondary marketplaces at reduced prices.

When to Use: High-volume stagnation, warehouse space critical, product obsolete.

Bundling

Create product bundles or kits to include slow-moving items with popular products.

When to Use: Complementary products, promotional opportunities.

The CSV export includes:

  • Sku: Product SKU
  • Upc: UPC code
  • Description: Product description
  • Supplier: Supplier name
  • Qty: Current inventory quantity

File Location: export_csv_inventory/[CompanyName]

File Format: Standard CSV (comma-separated values) compatible with Excel, Google Sheets, and other spreadsheet software.

Use the CSV export for:

  • Pivot Tables: Group by supplier, analyze total stagnated quantity
  • Cost Analysis: Calculate total value of stagnated inventory (multiply Qty × Cost)
  • Comparisons: Track month-over-month changes in stagnated inventory
  • Supplier Scorecards: Evaluate suppliers based on stagnation rates

Problem: Report shows no stagnated inventory.

Possible Reasons:

  • All inventory is moving: Great! No action needed.
  • Threshold too low: Your configured days might be too short to identify stagnation.
  • Recent inventory activity: All products have recent shipments/receipts.
  • Data not yet calculated: Wait for the daily cron job to run.

Solutions:

  • Verify your Stagnated Inventory Days threshold is appropriate for your business
  • Check that you have active inventory (UnitsInStock > 0)
  • Ensure products are not discontinued or on hold

Products Show as Stagnated Despite Recent Sales

Problem: Product appears in report but you know it sold recently.

Possible Causes:

  • Order not shipped yet: Orders in Pending or Processing status don’t count as movement
  • Cache delay: Report may not reflect today’s shipments yet (updates daily)
  • Recent receipt only: Product was received but not shipped within the threshold period

Solutions:

  • Check order status - ensure orders are marked as Shipped
  • Wait for the next day’s report regeneration
  • Verify the product was shipped (not just ordered) within the threshold

Problem: Cannot download CSV file.

Solutions:

  • Refresh the page and try again
  • Check browser permissions for file downloads
  • Verify export directory exists and is writable: export_csv_inventory/
  • Contact support if issue persists
  • Catalog Overview: View all products and inventory quantities
  • Product Management: Discontinue stagnated products
  • SKU Management: Delete or rename stagnated SKUs
  • Distribution Centers: Transfer stagnated inventory to other locations
  • Suppliers: Review supplier performance based on stagnation
