Bin History

Bin History is a complete audit trail that shows all changes made to bins in your warehouse. Every modification, movement, processed order, replenishment, correction, or update is recorded with complete details including who made the change, when, what exactly changed, and the affected quantity.

This functionality allows you to track the complete history of any bin, understand how it reached its current state, investigate inventory discrepancies, and maintain a complete record of all bin transactions.

  1. Navigate to Bin History

    Access /BinHistory_Allpacklist.php directly or from other bin views look for the “Bin History” or “History” option.

  2. Select a specific bin (optional)

    If you come from a specific bin view, history may be automatically filtered for that bin. You can also filter manually afterward.

  3. Verify your permissions

    Make sure you have Inventory_Allpack level permissions with listing capability. If you don’t have permissions, you’ll be redirected to login.


The page automatically displays all history records in a table with the following columns:

  • Date: Date and time of the change
  • BIN: Name of the affected bin
  • Sku: SKU of the involved product
  • Type: Event type (Order, Replenishment, Move, Re - Count, etc.)
  • ID: Related event ID (OrderID, RequestID, CorrectionID, etc.)
  • Company Name: Name of the associated account
  • Qty: Changed quantity (positive for entries, negative for exits)
  • Qty Actual: Accumulated quantity after the change
  • Username: User who made the change
  • Comment: Comment or additional information about the event
  1. Use the custom filter

    At the top of the page, you’ll find a “Custom Filter” form.

  2. Enter your search term

    Type the term you’re looking for in the text field.

  3. Select the field to filter

    Choose the specific field from the dropdown menu:

    • All Fields: Search in all fields
    • Date History: Filter by date
    • BIN: Filter by bin name
    • Sku: Filter by SKU
    • Type: Filter by event type
    • ID: Filter by event ID
    • Company Name: Filter by account name
    • Qty Change: Filter by changed quantity
    • Current Qty: Filter by current quantity
  4. Select “Whole words only” (optional)

    Check this option if you want to search for exact matches of complete words.

  5. Click Apply Filter

    The table will automatically filter showing only records that match your search.

  6. Clear filter

    Click “Reset Filter” to view all records again.

  1. Click column header

    Click any column header to sort by that field.

  2. Toggle ascending and descending

    Click the same header again to toggle between ascending and descending order.

  3. Sort by multiple fields

    You can sort by any column: Date, BIN, Sku, Type, ID, Company Name, Qty, or Qty Actual.

  1. Use pagination controls

    At the bottom of the table, you’ll find pagination controls.

  2. Navigate between pages

    Use the “Prev” and “Next” buttons or click directly on page numbers to navigate.

  3. View more records

    The table shows 100 records per page by default. Navigate between pages to see more history.

History records different event types. Here are the most common:

  • Order: Processed order that reduced bin inventory
  • Order (reverted): Reverted order that restored inventory to the bin
  • Replenishment: Replenishment that added inventory to the bin
  • Re - Count: Inventory correction (recount) that adjusted quantity
  • Move: Inventory movement between bins
  • Revert: Order reverted to pending status
  • Re-stocking: Re-stocking that added inventory
  • Return by Carrier: Return by carrier
  • Return: Customer return
  • ErrorCorrection: Manual error correction

Each event type has specific information in the “Comment” column that provides more context.


The system automatically calculates:

  • Qty: The quantity changed in this specific transaction

    • Positive values indicate entries (replenishment, corrections that increase)
    • Negative values indicate exits (orders, movements out)
  • Qty Actual: The accumulated quantity after this transaction

    • Calculated by summing all previous transactions
    • For orders, quantity is subtracted
    • For replenishments and entries, quantity is added

Each record shows:

  • Username: The user who made the change
  • If the change was automatic or from the system, it may show “SHIPEDGE” as the user

The displayed date may vary by event type:

  • For completed orders (shipped), shows the shipping date
  • For other events, shows the change date recorded in DateHistory

Some event types include links to related records:

  • Orders: Link to OrderID
  • Replenishments: Link to RequestID
  • Corrections: Link to CorrectionID
  • Returns: Link to ReturnID

These links allow you to see more details of the event that caused the change.

The “Comment” column provides additional information:

  • For Re - Count and Move: Shows the correction comment
  • For Order: Shows the order status
  • For Replenishment: Shows the supplier name
  • For Revert: Shows “Order Revert to Pending”
  • For other types: Shows the event type

The system allows filtering by:

  • Date: Use date range filters to see changes in specific periods
  • Specific bin: Filter by bin name to see only changes in that bin
  • Specific SKU: Filter by SKU to see all changes for that product
  • Event type: Filter by type to see only certain types of changes
  • User: Filter by user to see changes made by a specific person
  • Records per page: 100 records by default
  • Navigation: Use pagination controls to navigate between pages
  • Page range: The system shows page ranges when there are many pages

Investigate Discrepancies

Use Bin History to investigate inventory discrepancies. Filter by bin and date to find unexpected changes.

Review Recent Changes

Sort by descending date to see the most recent changes first. This helps you identify current issues.

Filter by Event Type

If you’re looking for a specific type of change (for example, only orders), filter by “Type” to see only those events.

Verify Accumulated Quantities

Review the “Qty Actual” column to verify that accumulated quantities are correct. This helps identify calculation errors.

Review Comments

Read comments in each record to understand the context of the change. Comments provide valuable information.

Export for Analysis

If you need more detailed analysis, consider exporting the data or using other reporting tools for advanced analysis.


Problem: The table is empty or shows “No records found”.

Solutions:

  1. Verify that the bin has recorded history (it may be a new bin without changes)
  2. Verify that you don’t have active filters hiding all records
  3. Click “Reset Filter” to clear all filters
  4. Verify that you have permissions to view history
  5. If you’re searching for a specific bin, verify that the bin name is correct

Problem: Filters don’t show expected results.

Solutions:

  1. Verify that you’re using the correct format for the field you’re filtering
  2. For dates, use the correct format (MM/DD/YYYY or similar)
  3. For text searches, verify there are no extra spaces or special characters
  4. Try with “Whole words only” unchecked for partial searches
  5. Clear the filter and try again with simpler terms

Current quantity doesn’t match inventory

Problem: “Qty Actual” in history doesn’t match the bin’s current quantity.

Solutions:

  1. Verify that you’re viewing all records (there may be more pages)
  2. Verify that there are no active filters hiding important records
  3. Check if there are more recent records you’re not seeing
  4. Verify that the bin hasn’t been renamed or moved (may affect history)
  5. If the problem persists, contact the administrator to review data integrity

Problem: Some event types don’t appear in history.

Solutions:

  1. Verify that those events were actually recorded (may not have been saved correctly)
  2. Verify that you don’t have filters hiding those event types
  3. Some events may be marked as “deprecated” and aren’t shown
  4. Verify that you have permissions to view all event types
  5. Contact the administrator if you believe important records are missing

Problem: The date in history doesn’t match when the change occurred.

Solutions:

  1. For orders, the date may show the shipping date instead of the processing date
  2. Verify that the system timezone is correct
  3. Some events may use different dates (for example, shipping date for orders)
  4. Review the event comment for more context about the date

Problem: I can’t open the page or see a permissions error.

Solutions:

  1. Verify that you have Inventory_Allpack level permissions with listing capability
  2. Verify that you’re logged in correctly
  3. Contact the administrator to verify your permissions
  4. Try accessing from another location or browser if the problem persists
